Finishing your Degree this Summer? Things to remember before you go

Here are a number of library related things to keep in mind as you prepare to finish your degree and leave Oxford.

Return all your library books

Please return your books to the library from which you originally borrowed them. Find out the SSL’s opening hours on our webpage.

Pay for any Lost Books

If you have lost an item borrowed from one of the Bodleian Libraries, contact the library from which the item was borrowed with the author’s name, the title of the book, the shelfmark (if possible) and your name and email address.

If the book is not found, you will usually be required to pay a lost book charge.

If you have already been invoiced for a book you have lost, please pay the amount before you leave.

Consider donating textbooks

We would be pleased to receive personal copies of social sciences textbooks that are in reasonable condition and cited on reading lists. We would add these to our lending stock so future students benefit from increased provision.

In cases where we don’t have sufficient space to add donations to our collections, we send them on to Better World Books.

Please pass any donations to staff at our Issue Desk.

Use up your PCAS credit

BODLEIAN Reader’s card

As a graduate of the University of Oxford you are entitled to apply for a Bodleian Reader Card (this is different to your ‘My Oxford’ Alumni card). This card will grant you reference access to the Bodleian Libraries. Details on how to apply are on the University of Oxford degree holders applying for a Bodleian Reader card webpage.

‘My Oxford’ Alumni Card

You can also register for a ‘My Oxford’ Alumni card. This will provide you with a range of benefits and discounts.

Being an Oxford Alumni entitles you to remote access to selected electronic resources. More information can be found on the Bodleian Alumni Journals access webpage.

If you have a Bodleian reader card, you will also be able to access electronic resources in the Bodleian Libraries via reader PCs.

RefWorks Reference Manager

If you have a RefWorks account, you will be able to continue to use RefWorks once you have left the University. However, you need to ensure you sign in with a personal email address to continue using the service as alumni. If you currently use your single sign (SSO) to log in to RefWorks, please read the information on the Bodleian Libraries Reference Management Guide..

Upcoming Changes to PCAS (Print, Copy and Scan) from Mon 6 December onwards

Two of the photocopiers in the SSL photocopier roomOn the week beginning 6 December the photocopiers in Bodleian Libraries will be replaced with new machines and new processes for adding credit and sending print jobs.

All accounts and balances will be migrated and your PCAS username and password will not change.

For the SSL, our current machines will be removed on Monday 6 December and new machines will be installed on Tuesday 7 December.

New services will go live when the new machines are installed and until then (while our present photocopiers are in situ), free offline services (photocopying, scanning to and printing from USB sticks) will be available from the current machines.

There will be a period of time when no printing, scanning or copying services will be available but this will be limited to one day for each library. On Monday 6 December the Law Library and English Faculty Library photocopiers (located in the St Cross Building) will be available for use, after our photocopiers have been collected.

Apologies for any disruption.  We would normally not schedule an installation during the academic year but global supply problems forced a delay to our planned summer installation.

The new machines and services are designed to be intuitive, but guides will be available on the Bodleian Libraries PCAS webpage as well as in our Photocopier Room. Support will also be provided by library staff and by emailing the PCAS Enquiries Team.

Return all library books

If you are still in Oxford: please, if possible, return your books to the library from which you originally borrowed them. Find out the SSL’s opening hours on our webpage.

Alternatively, there are three book loan return hubs where you can return items from any Bodleian library – Here at the SSL we are a return hub for all libraries, and in addition there is the Sainsbury Library at the Saïd Business School and the Philosophy and Theology Faculties Library at Radcliffe Humanities, Radcliffe Observatory Quarter.

If you have left Oxford, not to worry, Bodleian Libraries are offering free returns of books via a Royal Mail Tracked service in the UK, and outside the UK we can arrange returns for you if you contact the team at borrow@bodleian.ox.ac.uk.

New system for PCAS account top-ups

From the 24 June a new PCAS payment portal will be in place for PCAS credit and debit card top ups. Access the new site here.

The new site will run in parallel with the existing service (WebPay) until 30 June, at which point it will become the only method of adding credit using a credit/debit card.

If you require any support with the new service please speak to library staff or email the PCAS support team.

Here are a number of library related things to keep in mind as you prepare to finish your degree and leave Oxford.

Return all library books

If you have any books borrowed from university libraries please return them to the owning library before you leave. This will save on postage or return trips to Oxford (and fines!) later.

Book Donations

If you’ve got any of your own books that you don’t need any longer, the library would be happy to receive donations of social sciences textbooks. A box is available at our Issue Desk for you to place them in or pass them on to a library staff member.

Pay for outstanding fines and lost books

You can pay for all fines owed to any lending library in the Bodleian Libraries group. If you owe money for lost books you will need to visit the library that owns the book you have lost.

Alternatively you can pay for your fines and SSL books you may have lost via the online store. You will need to know the exact amount owed in each case, and you can find this out by signing in to SOLO and looking at “My Account”. If you are no longer able to sign in to SOLO, or have any questions please contact the library.

Alumni access to resources

Alumni access to selected resources is available. More information can be found on the Bodleian Alumni access to resources page. Go to the Oxford University Alumni webpage to register for an Oxford Alumni Card.

RefWorks Reference Manager

Leaving Oxford? Do not forget to use up your PCAS credit

PCAS is the system for photocopying, printing and scanning across the Bodleian Libraries.

Your PCAS account will end when your University card expires and remaining credit is non-refundable.

It is possible to transfer credit to another PCAS account if requested.

It is also possible to transfer credit to a different card, e.g. alumnus status.

For credit transfer queries please email PCAS Support.

Whilst your University card is valid you can also use your PCAS credit to pay for Scan & Deliver, Bodleian Library Postal Photocopying and Inter-Library Loan requests.

Temporary disruption to PCAS print defaults on Library computers (Mon 25th June onwards)

The upgrade of our library computers to the Windows 10 operating system (taking place on Mon 25th and Tues 26th June) will affect their default print settings. Rather than black & white and double-sided, the default settings will be:

  • Colour
  • Single-sided

To offset the disruption, colour printing will be charged as black & white until a fix is provided. Prices for PCAS printing can be found here.

The default settings for printing from your laptop or other device via RemotePrint will remain unchanged, only printing from library computers is affected.

Please ask staff if you need any help with changing the settings and we apologise for the disruption to the standard service.
